Printable Event Badges
The Badges area lets you design printable name badges for an event, assign participants to a badge design, and generate print-ready PDFs. It has three parts — Groups, Assign, and Export — reachable via the pill tabs under the single Badges entry in the event navigation.
Badge groups
A badge group is a named design — for example "Staff" or "Volunteer" — with its own background color or image, border, and text field placement. Each participant is assigned to exactly one badge group.
From the Badges tab, click New badge group to create one, giving it a name and the badge's physical width/height in millimeters. Click Edit design on any group to open the designer canvas, where you can:
- Drag and resize the group name and display name text fields anywhere on the badge — or use the numeric X/Y/width/height inputs in the style panel to position and size any field precisely by keyboard
- Add one optional custom field with a static text value (for example a year or event date) that prints identically on every badge in the group — click Add custom field, type the text, and it renders wherever you position it; remove it again with Remove custom field. The group name and display name fields are always present and can't be removed
- Add one optional subfunction field for a participant's specific role within the group (for example "Stagemanager" for someone in the "Area Lead" group) — click Add subfunction field to place it, then set the actual text per person on the Assign page (see below); remove it again with Remove subfunction field. Unlike the custom field, its text isn't typed in the designer since it's different for every participant
- Style each field's font, font size, color, and weight independently — choose from Space Grotesk (the default), Alfa Slab One, Barlow Condensed, or Barlow. Alfa Slab One only has one weight, so it always prints the same regardless of the bold setting
- Set the badge's background color, background image (click to browse, or drag an image file onto the upload area), and border
- Configure the A4 print layout: page margin and gap between badges (the number of badges that fit per page is computed automatically)
Click Duplicate on any group to create a new group that copies its full design — field positions, fonts/colors, print layout, badge styling, and background image. This is handy when only the background image or the custom-field text needs to change between two designs (for example different years of the same event), since all text positions are preserved. Give the new group a name and it's created immediately; you land directly on its designer to swap the background image or edit the text.
Deleting a badge group unassigns any participants currently using it — this cannot be undone.
Assign
The Assign page lists every participant enrolled in the event with a dropdown to set their badge group individually, or select multiple rows and use the bulk Assign to group action in the toolbar. Changing a participant's group shows a brief loading indicator on that row, followed by a confirmation once it's saved. Participants with no group set will not appear in a batch export.
If a badge group's design includes a subfunction field, a Subfunction text box appears next to the group dropdown for each participant — type their role (e.g. "Stagemanager") and click away or press Tab to save it. Leave it blank to print nothing for that field.
Export
The Export pill (under the Badges tab) generates the print-ready PDF. It offers four ways to print:
- Assigned participants (batch): downloads one PDF containing every participant currently assigned to a badge group, laid out on A4 pages per each group's print layout. Each badge group has a checkbox so you can choose which groups to include — all groups are selected by default, but you can deselect any you don't want in this run (e.g. printing "Staff" now and "Volunteer" later); at least one group must stay selected to download. Participants with no group assigned are skipped. If nobody is assigned yet, a warning is shown but the download still works — useful for testing a design before assignment is complete.
- Blanco: switch the toggle to print a set number of unlabeled badges per group (the group name is printed, the participant name is left blank) — handy for walk-in registration desks that write names by hand.
- Print a single badge: for a one-off badge — pick an existing participant who hasn't been assigned a badge group yet, or type a free-text name for someone with no enrollment record at all (a true walk-in). Choose a badge group and click Print badge to download a single-page PDF immediately.
- Print walk-in badges: for printing badges in bulk for people who aren't in the system at all (for example artists) — click Print walk-in badges, add a row per person with their name and quantity, pick one badge group for the whole batch, and download a single multi-page PDF. Use Add row to add more names; each row can have its own quantity.
All four options are only available to event staff with badge management permission.
